NOTES PRIVACY NOTICE

 

Introduction
Notes is a company that makes and sells tasty coffee. We also sell a selection of tools and equipment to weigh, grind and filter your daily brew.

This notice is to help our customers understand how and why Notes collect personal information relevant to them. It also explains what Notes does with that information and explains the decisions, which customers can make, about their own information.

What is 'personal information'?
Personal information is information Notes collects about individuals. This includes information such as;

• Name;
• Email address;
• Payment transaction details;
• CCTV.

Why and how does Notes collect and process personal information?
Notes collects, processes and stores the above information to be able to sell customers products, keep customers updated with the latest news and offers and to operate legally and safely.

How does Notes collect personal information?
Customer personal information is captured directly from the customer through the website or Wi-Fi login. Payment transaction details are collected at the point of a sales transaction and CCTV is permanently recording images for safety and regulatory reasons.

What does Notes do with personal information?
Personal information is kept with appropriate security, either electronically or on paper and Notes does not share data with any third parties unless required to for regulatory or legal reasons.

In some cases, Notes uses third parties to handle personal information on our behalf, e.g. IT and CCTV providers who might store personal information on the cloud or access such information when checking the security of our network.

Who is responsible for personal information

The privacy officer is responsible for the control of all personal data and ensuring it is kept up to date, as far as possible, by reference to the data subject, is treated fairly, and is only used for the purposed as defined by Notes as defined in this privacy notice.

Our legal grounds for using your information
This section contains information about the legal basis that Notes is relying on when handling personal information.

Legitimate interests
This means that the data processing is necessary for legitimate interests of Notes except where the processing is unfair to you.

Specifically, Notes has a legitimate interest in:

• Providing customers with refreshment on site;
• Selling customers quality coffee and coffee making equipment for delivery.

Legal obligation
Notes will need to use your information in order to comply with a regulatory or legal obligation, for example to report illegal activities such as CCTV pictures.

Consent
The individual has given clear consent to process their personal data for internal marketing purposes. Consent can be withdrawn at any time by contacting the privacy officer at the address below.

Sending information to other countries
Notes will not transfer any personal data outside the EEA unless through a third party process and only when they are satisfied that the data subject’s rights will be adequately protected.

Retention policy
Notes only retains information for as long as it needs to in the fulfilment of its role and objectives and where consent has been requested for marketing will regularly give the opportunity for our customers to opt-in.

What decisions can you make about your information?
If personal information is felt to be incorrect, Notes should be contacted and asked to rectify, block, erase or destroy the data as necessary.

The privacy officer is responsible for data protection compliance and can be contacted directly by customers regarding what personal information is held by Notes.

A request to see personal information held on an individual represents a ‘subject access request’. Any such request must be made in writing to the privacy officer.
